Free Printable PTO Calendar for 2026: Every Bridge Window Pre-Calculated
The Best Leave Plan Is the One You Actually See
Spreadsheets are great for analysis. They are terrible for follow-through.
If your leave plan lives in a file you opened once in January and haven't touched since, it's not really a plan. It's a rough idea that will get overridden by whatever feels urgent in the moment -- and by the time you remember to book that long weekend around Thanksgiving, your manager has already approved three other requests for the same dates.
Planning leave works better when it's visible. A calendar pinned to your wall, stuck to your monitor, or tacked to the fridge does something a spreadsheet never will: it reminds you, every single day, that your time off is worth planning for.
That's why we built a free printable PTO calendar for 2026 -- one page, print-ready, with every public holiday and bridge window already mapped out so you don't have to calculate anything yourself.
What's Inside the Calendar
This isn't a generic wall calendar with holidays marked in red. It's a purpose-built leave optimization tool that happens to be printable. Here's what you get:
Full 12-month year view
The calendar is formatted in A4 landscape, with all twelve months visible on a single page. You can see the entire year at a glance -- no flipping pages, no scrolling. Every day of 2026 is there, laid out so patterns and clusters of opportunity jump out immediately.
Public holidays color-coded
Every federal and national public holiday is highlighted in its own color, making them instantly distinguishable from regular days. You won't need to Google "is Columbus Day a federal holiday" again. The holidays are there, clearly marked, serving as the anchor points for your planning.
Suggested PTO days highlighted
This is where it gets useful. The calendar doesn't just show holidays -- it highlights the specific days worth taking off to create the longest breaks from the fewest PTO days. These suggested days are shown in a distinct color so you can immediately see where your leave budget will stretch the furthest.
Top bridge windows with efficiency ratings
Along the side of the calendar, you'll find a summary of the year's best bridge windows -- ranked by efficiency. Each entry shows how many PTO days you'd spend, how many total days off you'd get, and the resulting multiplier. A 3.3x rating means you're getting 3.3 days off for every 1 day of PTO used. These ratings make it easy to compare windows and prioritize.
Color-coding legend
A clear legend at the bottom explains every color used on the calendar: public holidays, weekends, suggested PTO days, and bridge window spans. No guesswork required.
How to Use It
The whole point of a printable calendar is simplicity. Here's the workflow:
1. Download and print
Grab the PDF for your country (links below). Print it on A4 or Letter paper in landscape orientation. If you prefer digital, save it to your tablet or keep it open on a second monitor.
2. Circle your chosen bridge windows
Look at the highlighted suggestions. Not every window will work for your schedule, your team, or your travel plans. Circle the ones that do. Cross out the ones that don't. Make it yours.
3. Submit leave requests early
This is the step most people skip, and it costs them. The best bridge windows are obvious to anyone paying attention, which means they fill up fast. Once you've circled your preferred dates, submit those leave requests immediately. Early requests get approved. Late requests get waitlisted.
4. Pin it where you'll see it daily
Stick it on the wall beside your desk. Tape it inside your locker. Pin it to the corkboard in the kitchen. The goal is passive reinforcement -- every time you glance at it, you're reminded of the plan and motivated to protect those dates.
Who This Calendar Is For
Individual planners. If you get a fixed number of PTO days each year and want to stretch them as far as possible, this calendar does the math for you. Print one copy, plan your year, and move on.
Managers coordinating teams. When multiple people want the same long weekend, it helps to see the full picture. Print a copy for the team area. It makes coverage planning easier when everyone can see the same set of high-value windows and self-coordinate.
HR teams onboarding new hires. Starting a new job mid-year means inheriting a leave balance with no context. Handing a new employee a printed calendar that shows remaining bridge opportunities is a small gesture that signals the company actually values time off -- not just in the handbook, but in practice.
Currently Available Countries
We've built calendars for two countries so far:
- United States -- all federal holidays included
- South Korea -- all national public holidays included
More countries are coming. You can check the full list and download the latest versions at /calendar.
How It's Generated
The calendar isn't assembled by hand. Public holiday data is pulled from the Nager.Date API, which maintains accurate, up-to-date holiday information for dozens of countries. That data is then fed into the LeaveWise optimizer -- the same engine that powers the interactive tool -- which calculates the optimal PTO placements, efficiency ratings, and bridge window rankings automatically.
The result is a calendar that reflects real holiday data and genuine mathematical optimization, not someone's best guess about when to take time off.
Pair the Calendar with the Interactive Optimizer
The printable calendar gives you the big picture. It's a snapshot of the year's best opportunities, designed for quick reference and daily visibility. But it can't account for your specific situation.
What if you only have 5 PTO days left? What if your company observes state holidays that aren't on the federal calendar? What if you want to prioritize summer travel over end-of-year breaks?
That's where the interactive optimizer comes in. At /optimize, you can enter your exact leave budget, select your country and region, and get a personalized plan that maximizes your time off based on your actual constraints. The printable calendar tells you what's possible. The optimizer tells you what's optimal for you.
They work best together: the calendar on your wall for motivation and awareness, the optimizer in your browser for precision planning.
