Sabbatical Proposal Template — How to Ask for 4–12 Weeks

A structured proposal for asking your employer for an extended leave (4–12 weeks). Covers business case, coverage plan, return-to-work commitment, and the most common manager objections.

How to use these

A sabbatical ask is a different conversation from a vacation ask — your manager is being asked to plan around a multi-week absence. The proposal should answer four questions in order: why now, what happens to your work, what happens when you come back, and what it costs the company.

Before you send

  • Lead with the business case, not the personal one. "I want to recharge" loses; "I want to come back able to lead the [next initiative]" wins.
  • Volunteer a clear coverage plan with named owners. The single biggest sabbatical risk for a manager is "no one else can do this."
  • Offer a written return-to-work commitment. Reduces the "what if they just leave" anxiety.
  • If your company has no formal sabbatical policy, propose one — your ask becomes the precedent.

When to use: When your company has no sabbatical policy and you are proposing leave-without-pay.

Frequently asked

My company has no sabbatical policy. Is my ask hopeless?

No — but the framing changes. With no policy, you are asking your manager (and probably their manager and HR) to either grant a one-off exception or write a policy. Both are easier when you submit a structured written proposal that they can edit and circulate. A verbal "could I take six weeks off?" is much harder to say yes to than a written one-page proposal that lays out coverage, cost, and return commitment.

How early should I send this?

For 4-week leaves: 3 months. For 8+ weeks: 6 months. Long-lead asks signal seriousness; they also give your manager time to slot the absence into project planning rather than treat it as a disruption.

Should I mention what I will do during the sabbatical?

Optional, but limit it to 1–2 lines. "I will travel" or "I will write" is enough; detailed itineraries make the ask sound recreational. The sabbatical is yours; you owe your employer a coverage plan, not a calendar.
